SJR Race Planning Committee Meeting Minutes
South Jersey Region-Sports Car Club of America, Inc.
Minutes of the March 9, 2009 Meeting
Chairman, Bob Childress, called the meeting to order at 7:50 PM on Monday evening, March 9, 2009 at the Elephant and Castle Restaurant.
Bob started out with the task list.
Race Administration - The schedule has been completed along with the supps and they are posted on the web. Sanction and insurance are in place.
Driver School Operation - The chief instructor is Butch O'Connor. JD reported that 19 instructors have signed up Instructor duties have been completed.
Trials Opertations - Val reported that she has received 22 registrations to date. Dave Yeager reported that we may be a little short on instructors. JD suggested that the instructors from PDX can cross over to help with the trials. Matt Green and Matt Rowe are in charge of assigning instructors duties.
Hospitality - JD is still in the process of finalizing the details for Saturday evening. Brian did mention that there will a 20% discount at the clubhouse. David Teal did suggest that the specialty chiefs put that finalized information in their chiefs letter to their groups. Dave Yeager asked if the track was charging for camping. The answer was 'NO'. There will only be a charge for the electric hook-up.
Pre-Event - Water and ice will be acquired. We have enough paper for the copiers. Discussion on whether we should have hats for the instructors. JD has ordered.
Event - There will not be a daily water run. Water will be in the coolers at each corner station in the morning. Results will be posted for the club trial, only.
Communications - Dan Zane reported that Sync Speed has been contacted. We have back-up radios. The antenna will be mounted outside the building. This is a temporary mount. Hopefully this will eliminate past problems with communications. Dan would like to get the track frequencies for Millville Rescue. Dan feels that being on their frequencies works much better all around for communications. Dan stated that he and his brother Craig are working on a repeater base station for future events. As for administrative radios, Dan will contact Darrell Anthony to find out if NNJR radios will be coming with Vanzilla. Dan will advise.
Registration - Val stated that registration will be at the main gate. Wristband credentials are on hand. Val is in the process of deciding what colors will be used for hot and cold areas.
Tech - Mike Murphy and Bill Hughes and Mike has completed his worker recruiting. Mike will get tech stickers from JD. Mike needs color stickers for the PDX and time trial. JD suggested two colors for PDX and one for time trial. Mike will supply.
Timing and Scoring - Jack Oliver reported that there will be timing on Sunday only. JD stated that we will need timing on Saturday and Sunday. Jack asked what cable was cut last year. Meg replied that it was the timing light cable. Meg has contacted Bart but has not heard back from him on what is needed to make repairs. Craig has volunteered to supply cable. It was suggested that we use the solo generator for timing from the bridge for the time trial. It was felt that we will use the generator only if there are more than 10 entrants for the time trial. Linda Louie will bring the decoder - it has come back from being reconditioned.
Flag and Communications - Bruce Kolker will be chief with Dan Zane as co-chief. Dan has 8 workers signed up. Stan Wantland from DC region will be the instructor for the flag school on Friday evening. The use of the Thunderbolt classroom or the Officers Club is available. David Teal stated that Stan will need an easel and a flip chart. Also a set of flags will be needed. David volunteered his. NJMP flaggers were invited to attend this training.
Start - David Teal is the chief with Pete Watson as co-chief.
Sound - No report.
Pit - Randy Bennett and Bart Carlevaro will be co-chiefs.
Grid - Dan Cassino stated that Diane O'Connor is chief. Grid will need cones from the solo trailer. Grid staff is in place. The only concern grid has is for the time trial cars. Discussion centered on how best to plan for this. This will be coordinated with Matt Green. David Teal asked Dave Yeager if a starter is needed for the time trail and the answer was yes.
Emergency Services - Ray Maliszewski, Sue Marshall and Jeff Burke are co-chiefs. Ray has not heard from NNJR. RV control plan will be coordinated with the co-chiefs and the stewards on Friday evening.
Stewards - Assignments are in place.
The next meeting will be Monday evening, March 16th at 7:30 PM at Elephant and Castle.
There being no further business the meeting was adjourned at 8:50 PM.
